We're transitioning our customers to a new system

We’re getting ready to introduce our brand new app for Pay The Nanny.



For the last 6 months we’ve been working hard to develop a custom solution that fully meets the needs of our customers. I’m excited to announce that we’ll be rolling this out through April.


1.      What’s changing?


We’ll no longer be using Invoxy as the software to manage timesheets, billing and payroll for our customers.


Progressively through April, customers will be transition to the Pay The Nanny system. It’s a fully custom built software that will make life & payroll easier for both families and their nannies. We can’t wait for our customers to try it out.


We’ll keep Invoxy live until the end of the year but you won’t be able to enter anything in it. You’ll still have your access to view historical payslips and time entries.


2.     When will I start using the new system?


We’ll be progressively transitioning customers to the new systems throughout April.


The key timelines are as follows:

  • 11th April – Weekly pay cycle users will begin entering time in the new system
  • 25th April – Fortnightly pay cycle users will begin entering time
  • 2nd May – Monthly pay cycle users will begin entering time


3.      When will I be able to login and start looking around the system?


We’ll be inviting users to the system in the week prior they begin entering time:


  • Week ended 10th April – Weekly nannies
  • Week ended 24th April – Fortnightly nannies
  • Week ended 1st May – Monthly nannies


Late next week, we’ll also make available some key FAQs for using the system and provide a user guide around how to enter time, expenses & leave.


4.      Will anything change with when I get paid?


Absolutely not! Our key timeframes and cycles will remain the same so key pay dates won’t change and, other than using a new system, customers won’t notice any difference with when and how they get paid.


The key points are:

  • Payroll dates & timing won't change
  • Payroll cycles won't change for any nannies
  • There won't be any delays with any pays for any nannies
  • Nannies will always be able to access their old payslips and pay information through Invoxy
  • Leave balances won't be impacted by the transition
  • Existing payroll setups (IRD, Kiwisaver etc) will be migrated to the new system
  • We'll be available during normal business hours to troubleshoot any issues!


5.      What are the key features of the new system?


The core features remain the same (logging timesheets, expenses, leave) and our processing times remain the same but the new software provides a lot more functionality.


Some of the best features of the new system are:

  • Families will be able to view leave balances and approve leave requests directly through the app
  • For families, you’ll be able to view historical invoices directly in the system
  • The leave function will make it easier and simpler for nannies to log leave entries
  • Nannies won’t need to request timesheet approvals to finalise their time, the system will automatically send time for approval at 5pm on a Sunday.
  • When reviewing and approving timesheets, you’ll be able to directly change individual time entries through your email. This will make it easier to correct individual entries or add extra hours or time that’s missing
  • For those with fixed hours, who don’t use timesheets, your time will automatically be logged in the system each Monday morning, but you’ll be able to update individual days without having to email the support team
  • Easily update your bank details and contact information in the system
  • Whilst there won’t be an app available through the apple store or play store, you’ll be able to login directly through the Pay The Nanny website and can access it via mobile or desktop


Overall, we feel the new system better meets the needs of our customers and we’ve taken on board a lot of feedback over the last 6 months whilst we’ve been building it.
