Planning Christmas Leave with Pay The Nanny

The Christmas break is fast approaching so we thought we would send through some important details.

In terms of putting in leave, it would be much appreciated if everyone could please enter this by 5pm on December 17th.

1.  Public Holidays

There are four public holidays over the Christmas break:

  • 25th of December - Christmas
  • 26th of December - Boxing Day
  • 1st of January - New Years Day
  • 2nd of January - Day after New Years Day

This year all public holidays fall on weekends, therefore those public holidays are transferred to the Monday and Tuesday (if you do not normally work weekends).

Outlined below is the process around making sure you correctly record your leave in the system.

2. Working on public holidays

If a nanny works on a public holiday then they will be entitled to time and a half plus a day in lieu. This means they will be entitled to an "alternative holiday" which they can take at another time.

3. Not working on public holidays

If you are not working on a public holiday then please discuss this with your family/nanny around whether this should be paid.

If a nanny would have typically worked on the public holiday then this would be paid as a public holiday for the amount they would have likely worked.

However, if they don't have set hours or there is a grey area, then it should be agreed between the families and the nannies around whether this would have been typically worked.

4. Annual Closedowns & Planning Leave

A number of families will be using an annual closedown period over the Christmas break. This means nannies may be required to take leave over this period.

We recommend that nannies and families plan well in advance around which days and, how much leave, should be taken over the Christmas break. If you would like an update on your annual leave balance, then please email Payroll@paythenanny.nz and we can provide this information to you at any time.

5. Entering Leave - Public Holidays

Public holidays can be entered into the Invoxy system through the timesheet system.

When entering your time, please ensure that the work code you select is Public Holidays and ensure that you enter the amount of hours as agreed with your family. Public holidays get entered a little bit differently to sick and annual leave.

6. Entering Leave - Annual Leave

For entering Annual leave over Christmas, please see a reminder on the guide below:

https://support.invoxy.com/hc/en-us/articles/360002636456-Invoxy-PayHero-for-Resources

All nannies should be entering sick and annual leave through the LEAVE tab in the Invoxy system (even if you have fixed hours).

If you are taking a day's leave then you won't need to enter it into your timesheet but you will still need to apply for this leave through the system. The leave application will be sent through to your family for approval.

7. Pay The Nanny - Office Hours

Our hours will be reducing slightly over the Christmas period as we take a well-earned break. Payroll dates and processing times will still continue as normal.

From 20 December to 10th January our office will be running on skeleton staff. We will still be working through this time but we may take a little bit longer to reply so please ensure any enquiries are sent through in advance, if possible.

If there are any questions, or you are unsure around leave for your nannies, please do give us an email at Payroll@paythenanny.nz.
